When is bump in?

Please ensure you select your bump in time here so we can prepare for your arrival.
All exhibitors must leave site by 8:00 pm each day for a security sweep, if you need to stay later please see Organisers Office.
When does bump out begin?

The show closes at 4pm on Sunday from this time you may start packing down your exhibit and walking goods out. *There will be NO engines permitted to start or vehicle movement onsite until everyone is in high visibility vests and enclosed shoes and organisers deem it safe to do so.
Move out for Exhibitor vehicles will be via the same one-way system as was in place for move-in, onto Riverina Avenue via Australia Avenue and exiting onto Showground Road.
What do I need to do during bump out?
- All stock and items are to be removed from walls by 7.00pm Sunday to enable the stand builders to dismantle walls.
- If items are being left on stands until Monday, please ensure all boxes are packed, sealed and labelled correctly as this is the time when things can go missing.
- All stand displays and exhibitor products must be completely removed from site by 3pm, Monday 17th June.
- Please note that ETF takes no responsibility for any goods or material left on the premises after the expiration of the move-out period. Any items left in the exhibition area shall be disposed of at the expense of the exhibitor.
Can I park on site during bump in/out?
Vehicles are permitted onsite during the move-in process. There is a 30 minute parking restriction in and around the venues that will be enforced throughout the move-in and move-out periods.
All vehicles on site must display a contact number, name and company name on their dashboard.
Where is the car park?
Exhibitor Car Parking
Car parking is available within the Olympic Park precinct at the following locations: P1 (height restriction 2m), P5, & P6
Parking is generally run on a first-come-first-serve basis however it is possible to pre-book parking.
Note: there will be a shuttle bus operating in between P5 and the corner of Shoalhaven Street & Grand Parade.
P2, P4, P5 & P6 are open-air car parks.
P1 clearance – 2 metres
P3 clearance – 2.1 metres
P8 clearance – 2.3 metres
Sydney Olympic Park Car Parks
Cashier Pay Stations located at P1, P5 & P6 car parks are generally staffed during major events. Pay & Display ticket machines are available at P6 series car parks as well as on-street parking on Showground Road, Dawn Fraser Avenue (west) and Herb Elliot Avenue. Automatic Pay Stations are located at all boom gated, car parks. They operate 24 hours a day, 7 days a week.
Free Parking is available in the following locations:
- Grand Parade 2 hour limit (Between Showground Rd & Olympic Blvd)
- Olympic Boulevard 2 hour limit (Between Grand Pde & Murray Rose Ave)
- Dawn Fraser (outside Novotel) 2 hour limit.
Visitor Car Parking

Accessible parking options - Grand Parade and Showground Road allow free mobility parking for mobility pass holders.
I'm a space only stand, what do I need to know?
All space only stands must submit a stand design here for approval. This must be submitted by 24/05/2024.
Once a custom stand design has been approved, the stand design cannot be modified or altered without written approval from the organiser.
Reminder: space only stands DO NOT include power, walling, flooring.
I have a contractor building my stand, what do I need to provide?
As above a stand design must be submitted by your builder. If they do not have Exhibitor Portal access they can email Tori - tvella@etf.com.au
- Public Liability Certificate of Currency.
- Workers Compensation Certificate.
- Safe Work Method Statement (WH&S Regulations).
I have an outdoor stand with a marquee/temporary structure, do I need to tell the organisers?
Yes, if you have an outdoor marquee or temporary structure you must provide the size and specifications of the structure here.
Roughly 50kgs will be required per leg.
Outdoor marquees over 3x3m will need to be signed off by an engineer who will be on site during bump in.
How many complimentary tickets do I get?
Exhibitors will be allocated a predetermined amount of complimentary visitor tickets based on stand size. Complimentary tickets will be sent via a link a week prior to the event start date for you to distribute at your discretion.
Complimentary tickets are strictly for guests/clients only and not to be used in lieu of an Exhibitor Pass.

What are Exhibitor/Contractor Passes?
Purpose of Exhibitor/Contractor Passes:
- To establish who a person is and their eligibility to access the site to perform their role. Once established and approved they will be issued a Pass.
- Regulate the number of persons accessing the site and to achieve a high level of security by all stakeholders.
- Each person who comes onto site to fulfil a working role must be registered for a Pass.
- Ensure the needs of all stakeholders are adequately met, and to guarantee their enjoyment.
How do I organise Exhibitor/Contractor Passes?
I have a co-exhibitor on my stand what do I need to do?
A contracted exhibitor has the option to share their stand with a co-exhibitor. A co-exhibitor does not enter into a contract with ETF; instead the contracted exhibitor chooses to allow a co-exhibitor to share their stand. Co-exhibitors will have the opportunity to purchase a Marketing package which will give them exposure on the event website. Please complete the Co-Exhibitor form to order this. All co-exhibitors trading at the show must have their own Public Liability Insurance coverage of $20 million. Please reach out to admin@4x4show.com.au if you have a co-exhibitor on your stand.
Cleaning & rubbish removal process
Bump in/out:
Exhibitors are responsible for the removal of their cardboard/boxes/pallets etc during move-in. Waste containers are located outside each building for such rubbish. Please advise your stand builders that they are responsible for the removal of any rubbish generated during the construction of your stand.
Waste Material - Please ensure all your stand and display materials are removed from the venue during move-out. Failure to do so will leave the contracted exhibitor liable for the cost of removal and disposal.
Show days:
A pre-show clean of all carpeted areas (including stands) will occur on Thursday evening. Additional stand cleaning is at a fee, details are in the supplier list.
Can I run a competition on my stand?
Please speak to ETF if you wish to run a competition and refer to Service NSW.
Where do I submit my Public Liability Insurance documents?
As per the Exhibition Contract Terms and Conditions, all contracted exhibitors and co-exhibitors are required to have the following insurance coverage to be able to exhibit and work at the show.
Your Public Liability Insurance policy MUST include the following:
- Your Company Name
- Policy Number
- A minimum of $20,000,000 cover
- Interested Parties – Exhibitions and Trade Fairs Pty Ltd
- The name of the show – National 4x4 Outdoors Show 2024
- The name of the venue – Sydney Showground
- Expiry date of cover – MUST not expire before Monday 17th June 2024
If you are unable to provide us with a certificate with the above requirements, you have the option to purchase Public Liability Insurance via ETF’s Insurance Broker for $250.00 (+ GST).

I have a display vehicle on my stand, what do I need to do?
If you have an indoor stand with a display vehicle, please contact Laura to arrange early access for your vehicle: lcamilleri@etf.com.au.
· Vehicles on display within the exhibition MUST not be started at any time without prior permission from Exhibitions and Trade Fairs.
· Vehicles MUST follow the strict walking pace speed limit in place. Vehicles are to be spotted into position by ETF staff or security. You are sharing this space with forklifts and other exhibitors so the utmost care is required for this activity.
Petrol powered motor vehicle guidelines
· Have a drip tray for your vehicle
· 1 x 2.3 kg Portable fire extinguisher - UP TO 3 VEHICLES
· 2 x 2.3 kg Portable fire extinguisher - 4 OR MORE VEHICLES
· Fuel tank is to contain at least 90% fuel capacity
Gas (LPG) powered motor vehicle guidelines
· Have a drip tray for your vehicle
· 1 x 2.3 kg Portable fire extinguisher - UP TO 3 VEHICLES
· 2 x 2.3 kg Portable fire extinguisher - 4 OR MORE VEHICLES
· Engine is to be run until all fuel in the fuel line and convertor is exhausted
· The LPG fuel tank MUST be isolated from the engine mechanically by closing the “Service Tap” on the fitted fuel tank
I have a vehicle I want to display outside of my stand, what do I need to do?
Please contact Laura - lcamilleri@etf.com.au who will provide more information.
Note that ALL display vehicles MUST be positioned by 8pm Thursday and will not be able to move/leave site until bump out on Sunday. If your display vehicle is your means of transport throughout the show it CANNOT be displayed on site.
Cars, trucks and trailers cannot be parked inside show footprint. Although buildings within the grounds may look unused, it does not mean you can park there.
Can I play music or spruik on my stand?
In order to bring spruiking back to its original purpose, we will be enforcing rules on noise and music generated from each stand space. Noise and music must not exceed 80dB, measured at the boundary of any adjoining stand, to enable all visitors to enjoy their experience at the show and to allow other exhibitors to communicate effectively with their clients. Spruiking should not be used to attract visitors from other exhibition stands. Under no circumstance can spruiking be assisted by amplified sound. Please do not organise to have a speaker and microphone system setup on your stand for the intention of spruiking.
Music may be played on your stand if the volume is kept to a minimum and does not affect those around you. If you believe someone’s music is too loud, please see the Organisers desk. ETF may ask exhibitors to turn the music down or off at their own discretion.
What is the policy on using drones?

Security on site
Security will be in attendance during the move-in, show days and move-out periods. Whilst we take all reasonable precautions for the show, your best security is the diligence of your staff. To minimise the risk take the following precautions to reduce the risk of theft from your stand:
- Make sure your staff leave your stand at night with all your products packed away, locked up and covered
- Avoid bringing valuable personal items while working, carry them on you at all times if you require these
- Protect your databases and visitors you have recorded for following up post event
- Be sure you have adequate insurance to cover your stand, your stand and goods are not covered by the organisers insurance
- Always report any thefts that occur onsite
- Keep an eye out for anyone behaving suspiciously and report them immediately to the organisers office
- Wear your exhibitor pass at all times, including during the move-in and move-out periods of the event
- During move-out make sure you leave all your products / stand display packed, wrapped and ready for transport with the appropriate address label on it
- Whilst your car is parked don’t leave valuables in plain view in your car
- Don’t leave your stand unprotected while there are valuables on view – don’t think that you have nothing worth stealing
